Sample Review Checklist Before Placing a Bulk Order

A sample is not only for checking whether the product looks good. It should help you identify supplier fit, packaging issues, hidden cost risks, and details that must be fixed before production.

1. Product details

Check size, weight, material, color, finish, accessories, plug type, language, user manual, and any visible defects. If the product has a function, test the function in a realistic way instead of relying only on supplier photos.

2. Packaging and label details

Review color box structure, print quality, insert card, barcode, warning label, carton mark, and shipping label requirements. Packaging mistakes are common because they are often discussed after the product sample, not together with it.

3. Compare sample against the quotation

The sample should match the quoted product version. Confirm whether the bulk order will use the same material, accessories, packaging, and supplier process. Ask the supplier to list any differences between the sample and mass production.

4. Record changes before approval

Do not approve a sample with vague comments like "looks fine". Write a short approval note: accepted details, details to revise, packaging version, color version, logo file, target market, and any required photos before shipment.

5. Decide whether inspection is needed

For higher-value, electrical, fragile, or first-time orders, a pre-shipment inspection may be worth the cost. For small or lower-risk orders, photo and video checks may be enough, but the expectations should still be clear before production starts.
